Position Overview

The Assistant Manager plays a key role in the day-to-day operations of Uppliva Sauna & Spa. Working closely with the Managing Director, they help ensure the spa runs smoothly, operational standards are maintained, team members are supported and accountable, and guests consistently receive a welcoming, high-quality experience.

This is a hands-on leadership role combining staff coordination and scheduling, inventory management, guest service, administrative responsibilities, and operational support. The Assistant Manager will also be trained in both Front Desk and Spa Attendant roles and will step into operational coverage when required.

As part of a small and growing business, responsibilities may evolve over time based on operational needs, seasonal priorities, and the needs of the spa.

Daily Operations & Guest Experience

  • Help ensure day-to-day operational and guest service standards are consistently maintained.

  • Monitor staff duties, task completion, cleanliness standards, and pool health and safety records.

  • Support the resolution of guest questions, concerns, and service issues.

  • Assist with coordinating private rentals, group bookings, and special events.

  • Be trained and prepared to provide Front Desk and Spa Attendant coverage as operationally required.

  • Support other areas of the business as needed based on operational priorities and the evolving needs of the spa.

Staff Scheduling

  • Create and manage Front Desk and Spa Attendant schedules based on operational and staffing needs.

  • Coordinate shift changes and coverage.

  • Coordinate seasonal Massage Therapy and Practitioner scheduling in collaboration with practitioners and the Managing Director.

Spa Inventory & Purchasing

  • Manage weekly spa inventory and ensure essential operational supplies are appropriately stocked.

  • Coordinate ordering with suppliers and monitor inventory levels.

  • Pick up supplies from local suppliers when required.

  • Identify opportunities to improve purchasing, organization, and inventory management.

Staff Leadership & HR Support

  • Support the Managing Director in creating a positive, professional, and accountable workplace culture.

  • Provide day-to-day guidance and support to Front Desk and Spa Attendant team members.

  • Support the onboarding and training of new employees, including guest service standards, workplace policies, procedures, and health and safety requirements.

  • Assist with seasonal staff training initiatives, team meetings, and staff social and wellness events.

Hours of Work & Commitment

  • This position is scheduled for approximately 20–25 hours per week, primarily Monday–Friday.

  • Typical shifts will be approximately 5 hours per day, including staff break coverage from 12:30–1:30 pm, Tuesday–Friday.

  • Hours, schedule, and responsibilities may vary based on operational needs.

  • Some flexibility for occasional evening and weekend coverage is required. Additional Front Desk or Spa Attendant shifts may be required when team members are away.

  • A one-year commitment is requested to provide continuity and stability in this leadership role.

  • Ability to work independently while communicating effectively with the Managing Director.

  • Positive and collaborative approach to working within a small team environment.

  • Previous front desk, reception, hospitality, spa, or customer service experience required.

  • Previous supervisory, team lead, or assistant management experience preferred.

  • Strong computer skills; experience working with Apple products is an asset.

  • Experience with spa or salon management software is a strong asset.

  • Experience with staff scheduling, inventory management, or administrative coordination is an asset.

  • Passion for health, wellness, hospitality, and creating an exceptional guest experience.

Compensation

The Assistant Manager hourly rate is $23/hour, plus eligible gratuities and wellness benefits.

Gratuities

  • As part of this position, approximately 4 hours per week (Tuesday–Friday) will include Spa Attendant duties while providing staff break coverage. Thermal Circuit gratuities apply to these Spa Attendant hours based on hours worked and Uppliva’s gratuity distribution practices.

  • Gratuities also apply to additional eligible Front Desk or Spa Attendant shifts worked.

  • Gratuities do not apply to hours dedicated exclusively to Assistant Manager administrative and management responsibilities.

The Front Desk / Spa Attendant plays an important role in creating a welcoming, safe, and relaxing experience for every Uppliva guest. This is a hands-on position that combines guest service, front desk responsibilities, Thermal Circuit operations, and maintaining the cleanliness and presentation of the spa.

Team members are trained in both Front Desk and Spa Attendant responsibilities and may work in either role depending on the needs of the spa.

Front Desk & Guest Experience

  • Warmly welcome guests to the spa and provide attentive, professional service throughout their visit.

  • Check guests in and out using Booker by Mindbody.

  • Review important spa etiquette, health and safety information, and Thermal Circuit guidelines with guests.

  • Make and manage bookings in person, by phone, and by email.

  • Answer phone calls and emails in a warm, professional, and timely manner.

  • Respond to guest questions, requests, and concerns with care and professionalism.

  • Process payments for spa services, treatments, retail products, and other purchases.

  • Maintain accurate and confidential guest records.

  • Recommend spa services, treatments, aromatherapy, and retail products based on guest needs.

  • Perform spa opening and closing duties as assigned.

Spa Attendant & Thermal Circuit

  • Welcome and orient guests to the Thermal Circuit, including spa etiquette and health and safety guidelines.

  • Maintain a regular presence throughout the Thermal Circuit and assist guests as needed.

  • Monitor the sauna, steam room, cold plunge, lounge, and other guest areas to help ensure a safe and enjoyable experience.

  • Test and record cold plunge water chemistry in accordance with applicable health and safety requirements and Uppliva procedures.

  • Prepare and serve Wildcrafted Spa Treatments and beverages from Uppliva’s Wellness Bar.

  • Maintain the cleanliness, organization, and presentation of the spa throughout each shift.

  • Support daily laundry, restocking, and replenishment of guest supplies.

  • Complete assigned opening, closing, and cleaning duties.

  • Help maintain a calm, welcoming, and relaxing environment for all guests.

Hours & Availability

  • Approximately 15–20 hours per week.

  • Availability for a combination of evening and weekend shifts, Tuesday–Sunday, is required.

  • Hours and responsibilities may vary based on operational needs.

  • Additional shifts may be available to provide vacation, sick-day, event, or other operational coverage.

Compensation

$17.95/hour, plus eligible gratuities and wellness benefits.
